Frequently Asked Questions
Check here first. Below we have compiled a list of common questions from potential customers regarding their projects. Our goal is to answer any inquiry you may have before you can ask them but unfortunately that is not always possible. Therefore, if you don't see what you're looking for then feel free to use our contact form to ask a more detailed question.
1. What is Scanning?
Scanning is the process of passing a beam of light over a physical source (such as a page from a book) and saving that image to an electronic file. Similar to photo-copying, instead the scanner stores the image in memory, rather than simply printing a duplicate and discarding the transmission.
2. What is OCR?
OCR stands for Optical Character Recognition. The process reads and extracts text from the scanned images to make them word-searchable and more useable in general.
Once OCR is complete, scanned pages can be saved in more formats such as DOC, TXT, RTF, or XLS.
3. How can I use my files once in electronic format?
     a. Read and/or search the documents on your computer
     b. E-mail the documents to peers or clients
     c. Print the documents, or only the pages you need from a document
4. What is DPI and what difference does it make?
DPI stands for dots per inch and it measures the resolution of which the documents are scanned. The higher the DPI, the sharper and clearer an image can be. Scanning at a higher resolution can also result in a more accurate OCR reading. At Ignited, we scan everything at 300 DPI as default, but higher or lower DPI scans can be performed per client request.
5. How would I receive my scanned documents?
Your files can be delivered in many ways:
     a. CD/DVD/HD
     b. Via file transfer over the Web or FTP
     c. Via e-mail if file-size permits
6. What electronic formats are used for the scanned documents?
We can save your scanned images in a variety of formats including PDF, TIFF, JPEG, BMP, or GIF. If the images have been OCR processed, we can export the files as Searchable PDF, TXT, RTF, HTML, XML, Word (DOC), Excel (XLS), PDF, PPT, or CSV.
7. What is the difference between a image-only PDF and a image-over-text or Searchable PDF?
An image-only PDF file is just that, a scanned page that was saved as an image. A image-over-text, or Searchable PDF on the other hand, has been OCR processed and because of this, is word-searchable. A
searchable PDF proves to be much more useful when looking for that one section or chapter in a 300+ page file.
8. Do I need special software to view my files?
In most cases, no special software is needed. PDF documents can be viewed, searched, and printed using the popular Adobe Acrobat Reader which can be downloaded for free. However, sometimes clients already have an existing information management system which they want the documents imported to; this is also a possibility.
9. Do I need special hardware?
A computer with a CD or DVD drive is all that is necessary (depending on file delivery).
10. What if I want another copy of my documents at a later date?
We will be glad to provide additional copies for a nominal charge. You can order multiple copies of your CD at the time of scanning.
11. What if I lose the CD you provided me?
We retain backup copies of our client's data unless otherwise requested.
12. How long will my CD/DVD last?
The published shelf-life of CD/DVDs is up to 100 years.
13. Will you provide printed labels for my CD's and cases?
We provide DVD cases with labels as well as CD labels at no charge. However, custom-designed inserts with your company logo and information would be an additional cost.
14. Can I make changes or add notes to the scanned documents?
You cannot change the files while they are on the CD/DVD. However, you may copy them to your hard drive, and changes can then be made.
15. What if my paper is damaged or torn?
Papers which are damaged or torn may not be suitable for auto-fed scanning and must be scanned on the flatbed of the scanner.
16. Do you return my original documents upon completion?
We can return your documents or arrange for secure destruction, dependent on the client's request.
17. Do I have to prepare my documents before they can be scanned?
If possible, all the staples and other paper fasteners should be removed from the files. The pages should all be oriented and facing
the same way (if single-sided). However, if you wish to just send the documents as-is, the price difference will reflect on how much preparation is needed.
18. How do I allow for more than one person at a time to access our scanned documents?
If your office has a LAN (local area network) or WAN (wide area network), documents can be placed on hard drives that are accessible on the network. You may also request
multiple copies of your archive so each key staff member or branch office has a complete set. In addition, Ignited offers a secure web-repository, enabling global access to anyone with web capability.
19. Do you scan books, magazines or other 'bounded' documents?
Yes, we scan nearly everything. If the bound documents can be cut or un-bound, the price can be significantly reduced. This way, the pages can be sent through the auto-feeder and processed quicker. If the booklet's binding cannot be removed, the pages must be scanned page-by-page on the flatbed of the scanners, resulting in a delayed turnaround time and a more costly option.
